If you’re the proud owner of a new e-mail account with us and don’t know how to proceed, this is the document that will help you. If you are setting up your email on an IPhone, you will need this guide instead.

1. Add Account and Basic IMAP Settings

By now you’ve been given an e-mail address and a password, and here’s the steps:

First, open your Outlook, then navigate to the Tools menu, select Add new account, and you will be presented with a new window that will ask you some questions (see image below).

  • Your Name: This is the name you want your recipients to know you by. (John Smith)
  • E-mail Address: This is the email address you want to setup. (email@email.com)
  • Account Type: Always use IMAP (Do not use POP)
  • Incoming mail server: mail.melotel.com
  • Outgoing mail server (SMTP): mail.melotel.com
  • Username: Use your email address in this field (email@email.com)
  • Password: This is your account password for your email.

2. Configure Email & Security Settings

Alright, now you’re ready to use you e-mail account. But in order to use it more securely, you will need to make just two adjustments. In Internet e-mail settings (see images below), go to the Advanced tab and make sure that the ingoing server is set up to use port 993 and the outgoing server is set to use port 465 and instruct Outlook to use SSL (the “Use the following type of encrypted connection” dropdown). Press OK in the lower part of the window and you’re set.

  • By Default your email address is already input for you.
  • Organization: This is your company name. If personal, leave blank or enter your name again
  • Reply E-mail: This is the same email address you want to receive replies. (email@email.com)

    A common mistake. Be careful not to typo here, because when someone replies too your email, this is where it goes. It's much like your Caller ID for email.
  • My server requires authentication: Checked
  • Log on using: Selected
  • Username: Your email address. (email@email.com)
  • Password: This is your email account password.
  • Remember Password: Checked
  • Incoming server IMAP Port: 993
  • Encryption type: SSL
  • Outgoing server SMTP Port: 465
  • Encryption type: SSL

3. General Suggestions

After years of using and support email services, we have come gathered up a lot of experience and have put together some best practices we hope you also consider.

  • Make sure that your SENT email is saving to your IMAP "Sent" or "Send Messages" folder so your sent email is forever backed up in the cloud. By Default many emails programs will want to store your sent email on the local machine you re using to connect. To us this is silly, but unfortunately it is the way many email software work. It's typically just adjusting your Account Setting "More" option and selecting the correct "Sent Messages" folder where tour sent email should be saved. This will ensure that if the hard drive of the computer you have your email setup on, you will always have that sent message in your account. This will also ensure that if you ever connect to your email from another location, you will always have access to your Sent Messages from wherever you are.
  • Set your signature. It's professional to setup a signature for each f your email accounts. The identify of your email should include some contact information if your recipient needs to reach you. There is nothing worse that looking thru someones email for how to contact them by phone real quick, only to see they end all their emails with only their name.
  • After you have set your signature up, you also setup your Mail Format / Stationary & Fonts. This is used to set your global font Format, Size and Colour. This helps keep your email signature brand and message consistent.
  • Don't Archive! Our IMAP Hosting Servers are ridiculously amazing and never requires you to Archive to increase performance. We guarantee your email will never clog up and searching your email will be fast forever no matter how big your email account becomes. So, essentially there is never a need to Archive.
